Role Overview:
The IT Operations & Automation Specialist will play a pivotal role in advancing Chronicle’s internal operational systems through strategic technology, automation, and process improvement. This role is crucial for ensuring that our workflows, data flows, and tools are effective and ready to scale as we grow. Reporting to Research and Development this role will champion a culture of continuous improvement across all departments, fostering efficiency, connectivity, and streamlined processes. This role is integral to ensuring that Chronicle scales efficiently and remains at the forefront of cemetery management technology.
Key Responsibilities:
Systems Integration and Optimization:
- Develop and maintain a cohesive technology ecosystem by integrating our key operational platforms (CRM, Notion, phone systems, etc.).
- Continuously evaluate and improve our internal systems, ensuring they are scalable and aligned with Chronicle’s long-term goals.
Process Innovation and Automation:
- Identify and implement opportunities for automation across departments, reducing repetitive tasks and enabling teams to focus on strategic initiatives.
- Design and build workflows that simplify and standardize cross-departmental operations, ensuring seamless data flow and task management.
Infrastructure Operations:
- Provide technical support, troubleshoot network and system issues, including laptops, office IT equipment, Wi-Fi, LAN, CCTV and more for seamless operations.
IT Security and Data Protection:
- Implement and maintain robust IT security protocols across the organization to safeguard company and customer data. This includes managing file access permissions, securing cloud storage platforms like Google Drive, and ensuring individual devices are protected through enforced password policies, antivirus software, regular updates, and system monitoring. Conduct regular security audits and provide training to staff on best practices for maintaining a secure IT environment.
Data Flow Integration and Accessibility:
- Manage data connectivity across platforms for real-time insights, implement tools to consolidate data into a single reliable source, and design a centralized dashboard to support collaboration and informed decision-making across departments.
Efficiency Champion:
- Foster a culture of continuous improvement, working closely with teams to understand pain points and proactively identify efficiency opportunities.
- Establish resources, best practices, and training that encourage operational excellence and a tech-forward mindset.
Future-Proofing Operations:
- Stay up-to-date with emerging technologies and recommend tools that align with Chronicle’s strategic direction.
- Develop scalable processes and solutions that anticipate future growth and evolving business needs.
Qualifications:
- Proven experience in technology operations, process automation, or business systems management, ideally within a SaaS or tech-driven environment.
- Strong proficiency with integration tools like Zapier or Make, and familiarity with CRM, ticketing software, project management platforms (ideally Notion).
- Experience with data flow and management, ensuring seamless movement of information across various tools and departments.
- Proficiency with automation and workflow optimization platforms (e.g., Notion, Airtable, CRMs) and experience with basics of web maintenance (WordPress exposure is a plus).
- Strong analytical thinking, problem-solving skills, and a proactive approach to identifying and implementing efficient solutions.
- Excellent communication and collaboration skills, with an ability to work effectively with both technical and non-technical stakeholders.
- Bachelor’s degree in IT or a related field, with a minimum of 3 years of relevant experience.
- Hands-on experience with LAN/Wi-Fi troubleshooting or network management tools is a plus.
