Genius Group is looking for an Executive Assistant, you will be responsible for providing high-level administrative support to the Executive Committee members. The Executive Assistant will serve as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Though the candidate is required to work remotely, candidates will be based out of Singapore.

Responsibilities

  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Schedule and manage the executives appointments, meetings, and conferences on a daily basis.
  • Prepare presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Coordinate travel arrangements and itineraries for executives. Prepare expense reports.
  • Act as a gatekeeper, managing and screening emails, calls, and delivering accurate messages; responding to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Candidates should make sure the meetings are scheduled on time and all the members join on time.
  • Strong organizational and time-management skills.; proven ability to meet deadlines.
  • Manage the Executive's high level contacts and media appointments.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the Executive through great follow-through skills and sound judgment.
  • Complete ad hoc projects as assigned – such as personal events and/or family need.

Qualifications

  • Bachelor's degree required
  • 5+ years of related experience required as an executive assistant supporting C-Level executives.
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Fluent in English.
  • Candidates with Bahasa Melayu or Bahasa Indonesia language knowledge are a plus.
  • Ability to adapt to changing priorities and handle unexpected situations.
  • Have a strong business sense and can decipher priorities and make sound judgment calls.
  • Be proficient in using office software and communication tools. Stay updated on technological tools that can enhance efficiency.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders
  • Demonstrate ability and temperament to work with sensitive information.
  • Collaborate well with other members of the executive team and support staff.
  • Dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
  • Ability to think outside of the box with a sense of urgency.
  • Ability to remain calm and composed in high-pressure situations.
