As a Practice and Guest Services Assistant you will play an important role in providing our clients with a distinctive client experience. Guest Services works closely with other Business Services teams to ensure a high-quality and effortless experience that sets us apart from our competitors. You will have the support and resources to enhance your skills to provide World-Class Service at White & Case.

The Practice and Guest Services Assistant will work closely with our Finance and Admin Manager and be responsible for managing front of house operations, greeting visitors and staff and supporting the needs for these groups. The role also provides ad hoc support to the Practice Assistants on secretarial, administrative and project related work. You will be a strong team player, actively seeking to improve working processes, anticipate needs and taking the next step.

Key Responsibilities

  • Managing reception duties in a professional and co-ordinated manner
  • Greeting and serving clients and visitors
  • Assisting with the co-ordination of video conference and conference call set up.
  • Contacting maintenance team of landlord for A/C, electricity and lighting repairs
  • Ordering, maintaining and restocking office supplies.
  • Provide general administrative support to Lawyers, including but not limited to, arranging meetings, booking rooms, handling calls, supporting travel related needs and expense reimbursements
  • Use good judgment at all times; ask follow up questions if instructions are unclear, efficiently communicate feedbacks, concerns, issues and workarounds;
  • Manage any other duties or projects as reasonably requested by the Finance and Admin Manager, the Lawyers or the leadership team.

The Skills And Attributes We Are Looking For

  • 4+ years of proven working experience in a guest services or practice assistant role, international law firm experience is preferred.
  • Strong communication skills both written and verbal.
  • Excellent MS Office skills and professional telephone manners.
  • Good judgement asks questions and strong communication skills.
  • High level of integrity and diligence
  • Ability to build strong relationships.
  • Ability to work well independently and in a team environment.
  • Excellent attention to detail.
  • Fluency in English is a must with additional language skills a plus.
  • Flexibility to be able to cover evenings/weekend (only as and when needed and rostered).
