We are looking for an energetic Secretary for our client in establishing a professional Tax office in Jakarta Selatan
TASK & RESPONSIBILITIES:
1.Administrative Support:
- Handle phone calls, take messages, and direct calls to appropriate team members.
- Greet and assist visitors, clients, and employees.
- Manage office correspondence, including emails, memos, and letters.
2.Scheduling & Coordination:
- Schedule appointments, and meetings, and coordinate calendars.
- arrange travel, accommodations, and meeting logistics?
- Prepare agendas and materials for meetings, taking notes as necessary.
3.Document & File Management:
- Organize and maintain paper and electronic files.
- Assist with data entry and document preparation.
- Keep records updated and ensure files are easily accessible.
4.Office Supply Management:
- Monitor and order office supplies as needed.
- Ensure office equipment (printers, copiers) is functioning and arrange for repairs when necessary.
5.Assisting Senior Staff:
- Provide administrative support to senior secretaries, managers, or executives.
- Help with special projects as directed by senior staff members.
- Assist in preparing reports, presentations, and spreadsheets.
6.Communication & Coordination:
- Act as a liaison between departments or teams within the organization.
- Assist in organizing events, workshops, and team activities.
- Coordinate with external vendors for office-related services or supplies.
7.Data Entry & Database Management:
- Input data accurately into spreadsheets, databases, and other software.
- Update contact lists, client information, and relevant databases.
8.Other Duties as Needed:
- Perform additional administrative tasks assigned by supervisors.
- Support other team members to ensure efficient office operation
QUALIFICATIONS:
- Bachelor / Diploma from Secretary Academy or Office Management
- Good communication in English
- Good English communication
- Good Grooming and a pleasant personality
