Job Description:

We are seeking a motivated and detail-oriented individual to join our team as a Property Assistant in Bali. The successful candidate will play a vital role in supporting the day-to-day activities as well as our current and planned projects by providing administrative and operational assistance, contributing to the smooth functioning of our services. This position offers an exciting opportunity to be part of a growing and innovative Real Property company in one of the most desirable locations in the world.

Key Responsibilities:

Administrative Support:

  • Assist in the preparation and maintenance of leasing agreements, contracts, and other property-related documents.
  • Manage and organize property records, including tenant information and leasing documents.
  • Handle phone and email inquiries, providing information and assistance as needed.
  • Schedule appointments, property viewings, and inspections.

Tenant Relations:

  • Act as a point of contact for tenants, addressing inquiries and concerns promptly and professionally.
  • Assist in the tenant onboarding process, including lease signing and move-in procedures.
  • Coordinate and communicate effectively with tenants to ensure a positive living experience.

Property Maintenance:

  • Collaborate with maintenance teams and contractors to address and resolve maintenance issues.
  • Maintain a system for tracking and responding to maintenance requests from tenants.
  • Coordinate routine property inspections to identify and address potential issues.

Financial Management:

  • Assist in rent collection processes and maintain accurate records of financial transactions including Petty Cash and Budgeting.
  • Support the management in budgeting and financial reporting.
  • Prepare reports related to rental income, expenses, and financial performance.

Marketing and Occupancy:

  • Assist in marketing vacant properties, creating compelling listings, and coordinating property showings.
  • Collaborate with the marketing team to develop and implement strategies for attracting and retaining tenants.

Project Coordination:

  • Collaborate with the project management to ensure project timelines and goals are met.
  • Assist in monitoring project progress, identifying issues, and proposing solutions.
  • Help maintain communication between different project stakeholders, including contractors, architects etc.
  • Contribute to the planning and execution of project events, meetings, and site visits.

Documentation and Reporting:

  • Maintain accurate project documentation, including permits, contracts, and correspondence.
  • Generate regular project reports, summarizing key metrics and milestones.
  • Assist in budget tracking and financial record-keeping for each project.

Research and Market Analysis:

  • Conduct research on real estate market trends and competitor analysis.
  • Provide data and insights to support decision-making and project development.

Qualifications:

  • Bachelor’s degree in business, real estate, or a related field is preferred.
  • Prior experience in project assistance, real estate, or a similar role is preferred.
  • Strong organizational skills with attention to detail.
  • Creative mindset and ability to multitask.
  • Familiarity with Bali’s property and luxury service market is a plus (Focus is Umalas area).
  • Familiarity with local property regulations and laws in Bali.
  • Excellent attention to detail and ability to deliver high-quality work within deadlines
  • Strong communication skills and ability to collaborate effectively with cross-functional teams.
  • Ability to work independently and collaborate with a diverse team.
  • Fluency in English and Indonesian is required; knowledge of other languages is a plus.

Requirements:

Must haves:

  • Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Very good written and verbal communication skills in English.
  • Must be currently located in Bali.
  • Clean driving license
  • Own your own motorbike
  • Own your own Laptop

Package:

Basic Salary plus allowances.
