This role will provide essential support to the Operations Manager, ensuring seamless day-to-day operations and efficient coordination across departments.

Key Responsibilities

1. Administrative Support

• Manage schedules, meetings, and travel arrangements for the Operations Manager.

• Prepare reports, presentations, and documentation for operational meetings.

• Maintain accurate records of company processes, procedures, and operational data.

2. Process Coordination

• Assist in developing, refining, and monitoring operational workflows.

• Ensure daily tasks are executed according to company standards.

• Coordinate with departments to maintain smooth internal processes.

3. Team and Resource Support

• Support team members with task allocation to ensure effective resource use.

• Monitor office supplies and coordinate with vendors for timely replenishment.

4. Compliance and Reporting

• Track compliance with internal policies and industry regulations.

• Compile and generate performance reports for management review.

5. Vendor and Supplier Coordination

• Assist in managing relationships with vendors and service providers.

• Help with contract management, renewals, and follow-ups to ensure quality service.

6. Project and Task Management

• Collaborate with the Operations Manager on special projects and initiatives.

• Track project timelines and follow up on task completion to meet deadlines.

7. Communication and Collaboration

• Facilitate communication between departments (finance, sales, and marketing).

• Serve as a point of contact for operational queries and issues.

Qualifications

• Indonesian citizen (international education is a plus).

• Advanced proficiency in written and verbal English and Bahasa Indonesia.

• At least 2 years of experience in an administrative or operations support role.

• Experience in the real estate industry is an advantage.

• Familiarity with CRM systems.

• Must own a scooter for local travel.

• Self-motivated, goal-oriented, and able to work independently or as part of a team.

• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools.

• Excellent interpersonal, organizational, and multitasking skills.
