Role Description

The Personal Assistant (PA) will provide high-level administrative support to the Director.

The role involves ensuring smooth day-to-day operations through expert organizational, multitasking, and communication skills.

The ideal candidate is highly proactive, discreet, and able to manage a diverse set of responsibilities in a fast-paced environment.

Key Responsibilities:

Executive Calendar Management:
Efficiently manage and maintain the employer's calendar, including scheduling meetings, appointments, and travel arrangements.

Communication Management:
Serve as the primary point of contact for internal and external communications, including emails, phone calls, and correspondence, ensuring timely responses on behalf of the Director.

Administrative & Clerical Support:
Prepare reports, presentations, and documents as required. Assist with management tasks, including filing, data entry, and documentation handling.

Task Prioritization & Workflow Management:
Assess and prioritize tasks based on urgency and importance to ensure efficient workflow management. Take ownership of projects and follow through on all responsibilities to completion.

Event Planning & Coordination:
Organize and manage the logistics of both professional and personal events, ensuring all details are meticulously planned and executed.

Financial Administration:
Monitor and manage budgets, process expense reports, handle invoicing, and ensure accurate record-keeping of financial transactions.

Confidentiality & Discretion:
Maintain a high level of confidentiality and discretion at all times, especially when handling sensitive business information.

Qualifications:

Degree in Business or Administration.

Proven experience as a Personal Assistant, Executive Assistant, or similar role.

Advanced proficiency in Microsoft Office Suite, Google Workspace, and other relevant productivity tools.

Excellent written and verbal communication skills.

Exceptional organizational, time-management, and multitasking abilities.

Strong attention to detail, with the ability to anticipate needs and prioritize tasks effectively.

Financial acumen and experience with expense reporting or budgeting.

Ability to work independently and adapt to changing priorities with flexibility and grace.
