About the Role

We are looking for a detail-oriented and proactive HRGA Operations Specialist to oversee HR and General Affairs functions, ensuring smooth operations across the office and retail stores. You will handle employee administration, legal compliance, office management, and store support while maintaining efficient HR processes.

Key Responsibilities

A. Human Resource (HR) Operations

  • Maintain employee records, attendance, and document filing.
  • Handle payroll administration, including calculations tax
  • Manage BPJS Kesehatan & BPJS Ketenagakerjaan registration and compliance.
  • Support recruitment (job postings, CV screening, interview arrangements).
  • Process work permits, visas, and immigration documents for expatriates.
  • Monitor attendance, leave management (sick leave, personal leave, maternity leave).
  • Assist in employee engagement activities and internal communications.
  • Ensure compliance with labor regulations and company policies.
  • Handle employee relations, grievances, and industrial relations matters.

B. General Affairs (GA) & Office Support

  • Manage office supplies, maintenance, and company assets.
  • Oversee office helpers and ensure a clean, safe, and organized workspace.
  • Handle travel arrangements (flights, hotels, business trip logistics).
  • Maintain legal company documents (Notarial Deed, NIB, NPWP, contracts).
  • Coordinate facility repairs, procurement, and vendor management.
  • Administer vehicle insurance, office building insurance, and private insurance.
  • Prepare reports on office expenses, inventory, and facility conditions.
  • Organize company events, meetings, and conferences.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Min. 3 years of experience in HR & GA operations, preferably in retail or FMCG.
  • Strong knowledge of labor laws, BPJS, payroll, and expatriate documentation.
  • Proficient in HRIS, payroll software, and Microsoft Office.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to multitask, work under pressure, and handle confidential data.
  • Fluent in English (written & spoken) for expatriate document handling.
