Assistant to the Chairman
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chairman and an additional stakeholder. This role requires exceptional multitasking skills, discretion, and the ability to handle business, personal, and household management responsibilities efficiently.
Key Responsibilities
1. Executive & Business Support
- Manage schedules, meetings, and emails for the Chairman and one additional stakeholder.
- Act as a liaison between executives, internal teams, and external partners.
- Organize and coordinate workflows to improve efficiency across departments.
- Prepare business reports, presentations, and correspondence.
- Handle business travel arrangements and logistics.
- Assist with business expenses and financial tracking.
2. Workflow Coordination
- Ensure smooth execution of projects and tasks across different teams.
- Track deadlines and follow up on pending action items.
- Improve internal processes to enhance efficiency.
- Coordinate cross-functional work between different departments.
3. Personal & Household Management
- Oversee personal schedules, appointments, and family events.
- Run personal errands such as shopping, reservations, and travel bookings.
- Manage household staff (drivers, housekeepers, security, etc.).
- Handle personal property maintenance, bills, and legal document renewals.
4. Confidentiality & Flexibility
- Handle highly sensitive business and personal information with discretion.
- Be available for urgent requests, last-minute changes, and occasional travel.
Qualifications & Requirements
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of discretion and professionalism.
- Ability to work under pressure and adapt to last-minute changes.
- Proficiency in Google Workspace and other relevant software.
- Flexibility to travel occasionally.
