As the Executive and personal Assistant to Orin Hardy, Director of PT Earth Friendly Living and PT Bamboo Pure, you play a vital role in ensuring the efficient functioning of these organizations. In your role as the Executive/Personal Assistant to Orin Hardy, Director of PT Earth Friendly Living, you are responsible for the following tasks:
- Professionally and courteously handle email correspondence and phone calls, serving as an effective communication link on behalf of the Director.
- Schedule Management: Efficiently organize meetings and appointments, enabling the Director to maximize their time and productivity.
- Travel Coordination and planning: Arrange domestic and international travel, transportation, and accommodation for trips and events, ensuring a seamless and stress-free experience for the Director.
- Task Reminders: Provide timely reminders to Orin Hardy about important tasks and deadlines, contributing to an organized and efficient schedule.
- Data Management: Maintain personal and company files and develop an effective filing system, ensuring that data is well-organized and easily accessible for efficient company operations.
- Liaison: Foster productive relationships by liaising effectively with staff, suppliers, and clients, facilitating communication and collaboration.
- Event Organization: Assist in the successful organization of events and conferences, ensuring they meet their objectives and run smoothly.
- Document Preparation: Prepare reports, presentations, and correspondence as required, based on Orin Hardy’s direction maintaining a high level of professionalism and accuracy.
- Administrative Support: Assist in processing working permits in coordination with HR/consultants, handle health insurance matters, and ensure compliance with relevant regulations. Occasionally assist with passport renewals and obtaining visas for travel.
- Travel Records: Manage mileage and related records to ensure efficient travel management and maintain accurate expense tracking.
- Presentation Support: Contribute to the preparation and setup of presentations delivered by the Director, ensuring they are polished and effective.
- Assisting Maria Hardy: Flexibly handle occasional tasks requested by Maria Hardy, further contributing to the smooth functioning of the organization.
- Driving: Act as a driver on occasion to transport Orin and important clients to get from A to B.
- Financial Management: Handle the petty cash account, process incidental bills, and maintain precise financial documentation, including the collation and filing of expenses.
- Miscellaneous Tasks: Be prepared to assist with various tasks and challenges within the company based on your current skills and capacity, contributing to the accomplishment of important objectives as needed.
