Assistant Manager Level

Role

We are seeking a highly organized, strategic, and proactive Assistant Manager, Sales Operations to lead and optimize daily operations while driving efficiency and scalability across the organization. This role encompasses workflow design, cross-functional collaboration, and strategic tool management, ensuring seamless processes and alignment across teams such as Sales, Customer Success, and Finance.

This position is crucial for maintaining operational excellence, improving workflows, and leveraging data to support the organization’s growth and revenue goals.

Key Responsibilities

Workflow Design and Optimization

  • Strategically designing workflows that improve efficiency and align with sales goals.
  • Continuously evaluating and refining processes to ensure scalability and adaptability as the organization grows.

Process Documentation

  • Create and maintain detailed documentation for workflows, policies, and procedures to ensure clarity and consistency.

Cross-Functional Collaboration

  • Partnering with Sales, Customer Success, and Finance teams to identify bottlenecks, streamline operations, and implement best practices.

Subscription and Billing Management & System Reconciliation

  • Configure subscription plans in platforms like Stripe or ERP systems post-client approval.
  • Generate accurate invoices or payment links via Stripe, Xero, or Oracle based on CRM data.
  • Ensure consistency and accuracy across systems such as HubSpot, Stripe, and in-house ERP tools.
  • Audit and resolve errors in subscription setups for both new and legacy customers.

Strategic Tool Management

  • Evaluating and overseeing tools like Powerflow and HubSpot to ensure they are fully optimized for the team’s needs.
  • Proactively identifying and addressing system inefficiencies.

Sales <> Customer Success Handover

  • Facilitate the smooth transition of deal information between Sales and Customer Success teams to maintain operational efficiency.

Invoice Coordination

  • Collaborate with the commercial team to follow up on overdue invoices and ensure timely payments.

Commission and Attainment Support

  • Optimize and manage the quarterly commission payout process.
  • Verify attainment figures for the commercial team to ensure accurate reporting.

Data-Driven Decision Making

  • Leveraging data insights from attainment tracking, pipeline management, and invoicing to recommend strategies that drive sales performance and improve operational efficiency.

Requirements

  • Bachelor’s degree in Business Administration, Analytics, or a related field preferred.
  • 3-5 years of experience in Sales Operations, Revenue Operations, or related roles, ideally in a B2B SaaS environment.
  • An individual contributor.
  • Strong proficiency in CRM systems like HubSpot and tools like Stripe, Xero, or Oracle.
  • Hands-on experience in workflow design and process optimization.
  • Fluent in English (written and spoken).
  • Experience in startups is highly preferred.
