Job Summary:
The Executive Assistant will provide high-level administrative support to the Managing Director, ensuring smooth and efficient operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The Executive Assistant will be responsible for managing the Managing Director's schedule, coordinating meetings and travel arrangements, preparing documents and reports, and handling various administrative tasks.
Skill Requirement:
- Minimum Years of Experience 6-9years Mandatory
- Proven experience as an Executive Assistant or similar role, supporting senior executives.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with the ability to communicate professionally and confidently with stakeholders at all levels.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Exceptional attention to detail and accuracy in all work.
- The candidate would be involved in handling Administrative work support, helping in leadership meetings, company events, MOM preparation, coordinating with the leadership team, clients, and Government executives, and Travel details for the Director (like a car, flight tickets, hotel booking. etc.), keeping track of progress, Administrative support, Logistic event support, help in leadership meetings, assisting the director in meetings
Job Description:
- Manage the Managing Director's calendar, schedule appointments, and coordinate meetings, ensuring optimal use of time and resources.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professionalism.
- Conduct research, gather data, and prepare briefing materials for meetings, presentations, and projects as required.
- Coordinate and arrange travel itineraries, including flights, accommodations, and transportation, ensuring a smooth and efficient travel experience.
- Attend meetings with the Managing Director, take comprehensive meeting minutes, and distribute them to relevant stakeholders.
- Handle incoming calls, emails, and other communications, responding or redirecting them as appropriate.
- Maintain and organize electronic and physical files, ensuring easy retrieval and confidentiality.
- Assist in the preparation of financial statements, budgets, and expense reports, ensuring accuracy and adherence to deadlines.
- Coordinate and manage special projects and events, including organizing logistics, coordinating with stakeholders, and ensuring successful execution.
- Act as a liaison between the Managing Director and internal/external stakeholders, maintaining professional and effective communication.
- Anticipate the Managing Director's needs and proactively provide support, including managing priorities, deadlines, and follow-ups.
- Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times.
