Responsibilities:
1. Data Management and Reporting
-Data Entry and Documentation:
Accurately capture and record data related to incoming and outgoing repairs within designated systems.
Log repair volumes, inventory levels, and discrepancies, ensuring data integrity.
-Report Generation:
Generate and submit regular reports on repair activities, inventory, and logistics for management to review.
-Administrative Accuracy:
Cross-reference and verify data to ensure reliable and error-free records.
2. Logistics and Delivery Oversight
-Scheduling and Coordination:
Organize and oversee pick-up and drop-off schedules for repair-related deliveries, collaborating with supply chain and logistics teams to prevent delays.
-Tracking and Monitoring:
Track all equipment movements to minimize downtime and ensure timely deliveries to clients’ Points of Presence (DoP).
-Warehouse Organization:
Maintain a well-organized warehouse environment, assisted with packing, and labeling, and ensured items were prepared for storage or shipment as needed.
3. Collaboration with Other Departments
-Cross-Functional Coordination:
Work closely with sourcing, fulfillment, project management, finance, and other departments to align client requirements and support a cohesive project approach.
4. Facility and Office Management
-Office Administration:
Address employee queries related to office management, such as stationery, hardware, and travel arrangements.
-Visitor and Clerical Support:
Provide general support to visitors and assist the HR department with clerical tasks, including managing employee attendance and leave records.
-Health, Safety, and Environment (HSE):
Conduct routine safety inspections and ensure all work areas are compliant with HSE standards.
Coordinate HSE training for team members and address potential safety risks proactively.
-Facility Maintenance:
Oversee facility maintenance by coordinating with vendors, scheduling repairs, and addressing infrastructure needs to maintain an efficient work environment.
-Weekend Availability:
Be available to work on weekends as required to meet the demands of warehouse operations.
5. Risk Management
-Risk Identification and Prevention:
Identify potential risks in logistics and operational processes and develop strategies to prevent disruptions in equipment handling and delivery.
6. Reporting and Analytics
-Performance Metrics Analysis:
Regularly evaluate logistics and repair performance metrics for continuous improvement.
-Detailed Reporting:
Prepare detailed reports for PTNW leadership and clients on equipment statuses, repair turnaround times, and logistics performance.
The ideal candidate will possess:
- A diploma or bachelor’s degree in logistics, supply chain management, project management, or a related field.
- Proven experience in logistics coordination, data entry, and inventory management, preferably within the telecom or repair industry.
- Strong organizational skills with exceptional attention to detail, ensuring accuracy in all tasks.
- Proficiency in office productivity and data management software, along with knowledge of HSE standards and facility maintenance coordination.
- Excellent cross-functional collaboration skills and effective verbal and written communication abilities.
- Strong problem-solving skills to proactively address logistics and operational issues.
- Flexibility and willingness to work weekends or extended hours as required to meet operational demands.
