As a General Affairs Specialist, you will be essential to ensuring smooth day-to-day operations and supporting a productive workplace environment. You'll oversee the general management of office facilities, coordinating with support staff and liaising with multiple departments to maintain efficiency. This role requires a proactive approach to managing resources, budgeting, vendor relations, and supporting the diverse needs of our teams. Your contributions will help create a welcoming, well-organized office environment that enables our team to thrive.
What You Will Do:
- Oversee daily office operations to ensure all facilities run smoothly and efficiently, addressing any operational issues promptly.
- Manage and support office personnel, including receptionists, office assistants, and drivers.
- Maintain and monitor company assets and building, scheduling regular servicing and repairs to uphold workplace quality and safety.
- Track and manage the General Affairs budget, coordinating closely with finance to handle invoice submissions and expense reporting.
- Collaborate with teams such as Finance, HR, Legal, and IT to ensure alignment and timely follow-up on documentation and shared resources.
- Build and manage relationships with vendors, negotiating contracts and agreements to ensure optimal service and cost-effectiveness.
- Monitor office supplies, reordering as needed, and prepare equipment for new hires or department transfers to support smooth onboarding and transitions.
- Open to fresh graduates; experience in General Affairs or Office Management is a plus.
- A diploma in Business Administration or a related field is preferred.
- Proficient in MS Office and back-office software (ERP systems), familiarity with SAP or similar tools is an advantage.
- Strong organization and time-management abilities, with an understanding of basic office and business principles.
- Demonstrated integrity and the ability to handle sensitive information with confidentiality. Strong interpersonal skills and emotional intelligence are essential.
- Excellent verbal and written communication skills, including proficiency in English.
