As an Executive Assistant, you will support the CEO and Chairwoman with managing a variety of administrative tasks, ensuring efficient operations, and allowing the CEO and Chairwoman to focus on strategic responsibilities.
You can expect to :
- Manage the CEO and Chairwoman's calendar, schedule meetings, and coordinate appointments.
- Screen and manage incoming communications, including emails and phone calls, and respond on behalf of the CEO and Chairwoman when appropriate.
- Organize and maintain files and records, both electronic and physical.
- Arrange travel and accommodations for the CEO and Chairwoman, including detailed itineraries.
- Plan and coordinate events, conferences, and meetings, ensuring all logistical details are handled.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Oversee office supplies and manage budgets related to administrative expenses.
- Ensure the office environment is organized, professional, and efficient.
- Assist with personal matters for the CEO and Chairwoman as needed.
- Handle other ad-hoc duties as assigned.
Requirements :
- A university degree and secretarial qualification would be preferred.
- Ability to communicate effectively, both verbally and in writing, in English
- Attention to detail with good problem-solving.
- Ability to work effectively in a fast-paced, deadline-driven environment (including prioritization skills, flexibility toward change, and a sense of urgency).
- Significant experience in managing office procedures and working with sensitive business information.
- Analytical & multi-tasker.
