As the Operations Director for our company, you will play a pivotal role in ensuring the smooth execution of all operational aspects related to our events. You will be responsible for overseeing logistics, managing resources, coordinating with various teams, and ensuring that events are executed seamlessly, meeting or exceeding client expectations.

Key Responsibilities:

Event Planning and Execution:

  • Collaborate with the event planning team to understand client requirements and objectives.
  • Develop operational plans and timelines for each event, ensuring all details are accounted for.
  • Troubleshoot any issues that arise during events and implement quick and effective solutions.

Logistics Management:

  • Own and manage flight manifest to ensure accuracy in airport pick up and departures.
  • Direct the team for departure transfers from hotel to offsite dinner events ensuring prompt loading and turn around times to maximise the guest experience during events.
  • Provide solutions and suggestions to clients to optimise their budget and minimise wait times.
  • Prepare schedules for the operations team assembled to ensure shifts and breaks are in place during event execution.

Team Management during Event Operations

  • Supervise and lead a team of operations staff, including coordinators, and support personnel when required.
  • Assign roles and responsibilities to team members and ensure everyone understands their tasks.
  • Provide training and guidance to team members to enhance their skills and performance.

Budgeting and Cost Control:

  • Monitor expenses throughout the event planning process and identify opportunities for cost savings to be reported to the Account Manager in charge of the file.
  • Work with the Account Managers post-event to finalise budget and identify areas for improvement.

Client Communication and Relationship Management:

  • Serve as the primary point of contact for clients regarding operational matters including taking the lead during precon meetings and call with the clints during final event preparation phase.
  • Communicate effectively with clients to understand their needs and preferences.
  • Build and maintain strong relationships with clients by providing exceptional service and exceeding their expectations.

Quality Assurance:

  • Implement quality control measures to ensure that all aspects of events meet company standards and client expectations.
  • Conduct post-event evaluations to gather feedback from the operations team and attendees to identify areas for improvement.

Health and Safety Compliance:

Ensure suppliers engaged to handle all aspects of event operations carry relevant insurances and strong references.

Develop and implement emergency response plans to address any unforeseen incidents during events.

Qualifications:

  • Bachelor's degree in Event Management, Business Administration, Event Logistics or related field.
  • Proven experience (8 years) in event operations management or a similar role within the events industry.
  • Strong organizational and multitasking skills with the ability to manage multiple events simultaneously.
  • Excellent leadership and team management abilities.
  • Exceptional communication and interpersonal skills.
  • Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
